Stop Writing Resumes Nobody Reads: The Scanner-Proof Resume Guide

March 16, 2026

A resume that is designed for quick scanning and ATS compatibility increases the likelihood that your application will actually be seen by a recruiter.

In our last blog post, I discussed the critical SEVEN seconds your resume gets from a recruiter (TLDR: recruiters rarely read resumes from top to bottom the first time they see them). Instead, they (or Applicant Tracking Systems, aka ATS) scan quickly for key signals that tell them whether a candidate is worth a closer look. Designing your resume to work for both human scanners and software systems can significantly improve your chances of moving forward in the hiring process. Here are practical ways to make your resume easier to scan and more compatible with ATS systems.

  • Put the most important information at the top

Recruiters typically scan the top third of a resume first. Make sure your name, contact information, professional headline, and most relevant experience appear immediately. If a recruiter can quickly see what you do and what role you are targeting, they are more likely to keep reading.

  • Use a clear professional headline

If you choose to include something akin to Goals/Objectives, instead try a short headline that clearly identifies your role or expertise. For example: “Data Analyst | Python | SQL | Data Visualization.” This immediately signals your skill area to both recruiters and ATS software.

  • Use simple section headingsATS systems are designed to recognize standard headings such as “Work Experience,” “Education,” and “Skills.” Avoid creative headings like “Where I’ve Been” or “My Journey,” which software may not categorize correctly.
  • Write concise bullet points instead of paragraphs

Long paragraphs slow down scanning. Bullet points allow recruiters to quickly identify your responsibilities and achievements. Aim for short, direct statements that highlight outcomes and impact — quantify if you can!

Instead of listing duties, highlight results. Numbers and measurable outcomes stand out quickly during scanning. For example, “Increased social media engagement by 35%” or “Managed a project that reduced processing time by 36 hours.”

  • Mirror keywords from the job description

ATS systems often search for keywords related to skills, tools, certifications, and job titles. Carefully read the job description and incorporate relevant terms naturally into your resume where they accurately reflect your experience. Using the Froghire.ai extension will allow you to work on your resume alongside the job description, making this tailoring infinitely more efficient!

  • Use standard fonts and formatting

Stick to common fonts such as Arial, Calibri, or Times New Roman (I am personally not a fan of the latter as it is out-date IMHO).  Avoid dual columns, graphics, unusual fonts, or complex layouts that can confuse ATS software when it parses your resume.

  • Create a dedicated skills sectionA clear skills section makes it easier for both recruiters and ATS systems to quickly identify your technical abilities, software knowledge, and certifications.
  • Keep formatting consistent

Use the same bullet style, date format, and spacing throughout the document. Consistency helps human readers scan quickly and reduces the chance of formatting issues during ATS parsing.

  • Save your resume in a widely accepted formatUnless an employer specifies otherwise, submitting your resume as a PDF or a simple Word document (.docx) is typically safest. For those of you using indeed.com: I advise PDF versions (recruiters reviewing resumes here need to undertake an extra step to see a .docx resume, and someone may just bypass you for this ‘annoyance’ alone). These formats are widely supported by most ATS platforms.
